Fractional COO · Systems · AI-Powered Marketing

Run your business.
We'll run the operations.

Itinera is a fractional COO practice for companies of 10 to 100 people whose owner is doing three jobs at once. We take the operations seat. We connect the systems that don't talk. And we turn on a marketing engine that feeds your pipeline every week.

The problem

Your software grew by accident. Now it runs you.

Every small company we meet has some version of the same four problems:

Systems that don't talk

The CRM, the schedule, and the books each hold a piece of the truth, and someone retypes data between them every week.

One person holds it all

Logins, processes, and “how things work” live in one employee's head. When they leave, so does the operating manual.

Accounts you don't own

Business tools registered to personal emails, passwords in a spreadsheet, and no answer to “what happens if…”

Marketing that never happens

Everyone agrees the emails and posts should go out. Nobody has the hours to write them. So they don't go out.

What we do

Three ways we run your operations.

We find the problem that's costing you the most, then we find the fix. Sometimes that's a tool, sometimes it's simpler than that. Every engagement starts small, and each step earns the next. No build is ever quoted before an assessment, and that discipline is why our fixed prices hold.

Monthly Operations Partnership

A standing COO seat at your business. Named days every month, on your calendar, the same weekday every time. Not hourly. Not a project. Someone owns your operations, and your team knows when the COO day is.

Builds and the AI Onboarding Kit

Fixed price projects that fix a named problem. Systems connected, processes written down, and AI set up to do the busywork your people should not be doing. You choose from an itemized list. You own everything we build.

The Operations Watch

A monthly membership that keeps you current after a build. What changed in the tools your business runs on, what it means for you, and what to do about it. Written for owners, not for IT departments.

We have already done the homework in accounting firms, agencies and consultants, churches and nonprofits, construction and home builders and remodelers, engineering and architecture, HVAC and plumbing and electrical, and retail. Not on the list? Most businesses run the same seven systems. Tell us what yours does on the call.

The Monthly Operations Partnership

Your business gets a COO. Not a full time salary.

A fractional COO for companies of 10 to 100 people. We find the problem that's costing you the most and we find the fix. Then someone has to run it. That is what this is.

Named days, every month.

One day a week, or two days a month. Your day, on your calendar, the same weekday every time. Your team knows when the COO day is, so the questions that pile up have somewhere to go.

A standing call in between.

Twenty to thirty minutes. Questions answered within one business day.

Four documents that outlive the visit.

A scorecard with your numbers. A decisions and actions log. A one page monthly summary. Quarterly priorities.

What a COO day looks like.

Morning, the numbers first. Then the standing meeting: decisions checked, decisions worked, blockers named out loud. Midday, follow through on the things that die when everyone is busy. End of day, the log: what was decided, who owns it, when it is due.

AI does the busywork. People stay in charge.

Every account and license is in your name. Every process is written down. If we walked away tomorrow you would keep all of it, and the next person in the seat could run it. We keep a limited number of partnership seats, because named days only work if they are actually named.

BOOK A FREE 30-MINUTE CALL

Every build starts with a fixed price assessment. You own everything we touch.

The assessment tells us, and you, what your business actually runs on. What connects, what does not, and what that is costing you. You keep the written findings either way, and any competent implementer could work from them. We do not start a partnership until there is something worth running, and the assessment tells us which one you need.

Start with the call. Nothing is quoted before an assessment, and the assessment tells you whether you need this at all.

The marketing engine

Email campaigns and social posts: drafted by AI, approved by a human, shipped every week.

Marketing your business stops skipping

We connect proven marketing tools directly to the systems you already run: native connections, not fragile bridges. AI drafts your email campaigns and your social posts, including LinkedIn. You (or we) review and approve. Then it publishes on schedule, week after week, whether you had a busy Tuesday or not.

Nothing goes out without human approval, and we don't do spam: no bulk messages, no fake engagement. Content your customers actually want, on a cadence that actually holds.

You approve: one click, or standing rules

It ships: email + LinkedIn + social, on schedule

Your pipeline hears from you every week
Already have an IT company?

Good. Keep them. We work with them, not around them.

Different lanes, and a translator between them

Your IT provider owns the infrastructure: networks, devices, email, security, backups, the help desk. We own the business systems layer: how your CRM, scheduling, accounting, and marketing tools connect and flow. Different jobs, and the projects that stall are the ones where nobody speaks both languages.

That's what 25 years on the technology side and fifteen running operations is for. Your new stack will need things from the infrastructure side: domains approved, DNS records for email delivery, app permissions, single sign-on. We don't hand your IT company a vague request and hope. We tell them exactly what's needed, why, and in their terms. Your project stops being a game of telephone.

We coordinate with your existing IT company directly, keep them in the loop on anything that touches their world, and never ask you to switch providers. If you don't have one, we'll happily recommend a good local MSP; that's their lane, not ours.

A business where everything talks

To the IT providers and MSPs reading this: your clients keep asking you business-process questions ("can you make the CRM talk to the schedule?") that aren't really IT problems and don't fit your service stack. That's exactly what we do, and we stay out of your lane entirely. If you'd like a partner to hand those requests to, let's talk: info@itinera.vip

How we work

Principles we don't bend

You own everything

Every account, license, and password is yours, in your company's name. We configure; we never hold your keys hostage.

Built for your successor

Everything we build is documented so the next person, including our replacement, can run it. A consultant you could replace but don't is worth more than one you can't.

Verified, never guessed

Every price and every “these tools connect” claim is checked against the vendor's own documentation before it reaches a proposal.

Native over bridges

We use vendors' own connectors wherever they exist. When a bridge is truly needed, its monthly cost goes in the proposal, never buried.

Honest verdicts

If your system can't be connected, we say so before you spend money, and recommend a manual process or a migration instead of selling an automation that can't exist.

You click the final button

Nothing irreversible (payments, sends, deletions) happens without a human's explicit approval. Ours is an AI-powered practice with a human in charge.

About

The operator behind it

Josh Sciascia

Founder

Twenty five years in technology, the last fifteen as an operations and systems executive. Running the business and running the tools were never two different jobs. I used to run a business on tools that were never designed to work together, with everything important living in somebody's head. Then I figured out how to fix it. Itinera is that fix, done for you. Based in Central Florida.

Itinera is Latin for journey, from the route maps Roman travelers carried. That is the work: mapping how your business actually runs, and building the route to how it should.

Operations is everything between "we won the job" and "we got paid." People, process, technology, logistics. Most owners are strong in one and blind in two. We write the whole business down first, then connect the handoffs that remove real double work and leave the rest alone.

Everything we build lives in your accounts, under your ownership, documented so the next person in the seat can run it. Nobody is the single point of failure. Not the office manager. Not us. A consultant who makes himself impossible to remove is protecting himself, not you.

Questions

Fractional COO questions, answered straight

What is a fractional COO?

An experienced operations leader who runs your operations part-time. You get real operations leadership without paying a full-time executive salary.

What does it cost?

Every engagement is a fixed price quoted after a short paid assessment of your actual systems, never an estimate. The assessment itself is fixed-price, one to two weeks. Start with the free 30-minute call.

Do you replace our IT company?

No. We work with them, not around them. They own infrastructure; we own business systems. After 25 years in technology, we speak their language fluently. Details above.

How much of your time do we actually get?

Named days each month, not hours scattered through the week. You pick the weekday and it stays yours. Between those days there is a standing call and an answer within one business day.

How is this different from hiring a consultant?

A consultant hands you recommendations and leaves. This is a standing seat: the same person, on a named day, who owns decisions through to done and writes everything down so it stays yours.

Do we have to buy a partnership to work with you?

No. Every engagement starts with a fixed price assessment, and many clients only need a build: systems connected, processes written down, AI set up to help. If your operations are not ready to be run yet, we build the foundation first and we say so.

What areas do you serve?

Based in Central Florida, serving the greater Tampa and Orlando areas in person, and small businesses anywhere in the U.S. remotely.
